Botswana employment visas require work and residence permission first
A current guide distinguishes the entry visa from employment and residence approval, including volunteer exemptions and the evidence needed for longer stays.

Entry exemption and permission to work are different checks
Botswana's visa-required employment travellers should establish their work and residence permission before applying for the employment entry visa. The government's employment-visa service expressly lists valid work and residence permits as a qualifying requirement. Its stated purposes include employment, internships, research and volunteering. This current guide concerns that sequence; it does not announce a new visa programme or suggest that ordinary visitor admission authorises all those activities.
The Botswana embassy in Germany provides a useful nationality example: ordinary German-passport holders are visa-exempt for visits, while temporary German passports require a visa. That entry distinction does not decide whether the proposed work, research or extended residence needs permission. Identify the exact travel document and intended activity before selecting an application. A person exempt from a visitor visa may still need the relevant work or residence approval, and a visa-required person must also complete the entry-document step after meeting its stated prerequisites.
Volunteers and researchers need the correct underlying authority
The embassy's FAQ says volunteers with exempted organisations may require an exemption certificate, while volunteers with non-exempted organisations require work and residence permits. It does not present all unpaid activity or all NGO placements as automatically exempt. For German exchange students undertaking work for more than ninety days, it identifies labour clearance confirming that the placement is not for reward or profit and a residence permit. Researchers staying beyond three months are directed to obtain the relevant ministry's research permit and then residence permission.
These examples help a host organisation frame the right question to Botswana's authorities. Clarify whether the activity is employment, study-related placement, independent research or a volunteer assignment, and ask the host for its documented exemption status where claimed. The examples should not be extended into an invented entitlement for every nationality or every short assignment. Obtain the decision or certificate needed for the actual case before treating an unpaid offer letter as sufficient authority to begin.
Prepare residence evidence and the separate employment-visa file
The government's residence service addresses non-citizens remaining beyond the visitation period and says adults over 18 generally apply separately, with supporting arrangements where dependent on another person. Its immigrant checklist includes Forms 15 and 3, an applicant covering letter, passport and birth evidence, marriage evidence where applicable, a photograph and proof of maintenance such as bank statements. Use the residence resource to identify the applicable household category rather than assuming one worker's file covers every accompanying adult.
For the employment visa, the government lists certified passport pages showing at least six months' validity, photographs, purpose letter, itinerary and Botswana accommodation or address. It also identifies labour waiver, employment or volunteer evidence as applicable, and a re-entry permit for the ordinary residence country where that country requires one. Online attachments must be combined into one PDF. Compare that visa checklist with the underlying permit evidence: they answer different questions, even where the same passport or contract appears in both.
The residence page separately labels a dependant checklist for ages 18–25 and 65 or above, including the supporter's permission or identity evidence and support letter. Check that stated category before assuming an adult relative qualifies through another household member.
Confirm the local charge and allow for distinct decisions
The German embassy FAQ lists BWP 1,500 each for work and residence permit applications and separate exemption-certificate and appeal charges. Washington's immigrant checklist instead quotes US$165 for a fresh residence application and describes its own document presentation. These are published location-specific figures, not one exchange-rate calculation to apply everywhere. Confirm the charge and payment arrangements with the office actually receiving the case, and keep visa, work and residence transactions separately itemised.
The government's employment-visa page gives a seven-to-fourteen-working-day processing indication; the residence service gives thirty working days. Neither guarantees that the full combined sequence will finish within the shorter period. The residence process ends with a decision and, if successful, passport endorsement, while the visa page explains how an approval letter can be used where the visa has not yet been printed. Follow the actual decision instructions. Keep the lawful-stay limit, permit approvals and intended travel date visible, and seek clarification before travel where an exemption, document type or host claim remains unresolved.
