Shared provisions
1. Responsible business and contact details
VisaWand, LLC operates VisaWand and is responsible for the platform uses of personal information described here. Our address is 131 Continental Dr, Suite 305, Newark, DE 19713, United States. Send privacy questions or requests to [email protected] with “Privacy request” in the subject. We may need information proportionate to the request to verify your identity or an authorised representative’s authority; do not send a passport scan merely to make an initial enquiry.
2. Information collected and where it comes from
Information comes from forms, accounts, bookings, uploaded documents, messages, support requests and subscription choices; from the consultant or customer participating in a transaction; from payment, communications and technical service providers; and from public professional sources used for directories. We also receive technical information when browsers and devices connect to our services, such as IP address, device or browser details, timestamps, page activity and security logs.
Not every category is collected from every visitor. Browsing a directory differs from creating an account, paying for a consultation or uploading a document. If a field is required to complete a particular action, withholding it may prevent that action. Optional marketing is not a prerequisite to a paid consultation.
3. Purposes and applicable legal grounds
We use information to run accounts and bookings, connect the parties, provide the workspace, process payments and refunds, answer support requests, assess listings, detect abuse, maintain records and improve the service. Where laws require a legal basis, necessary account and transaction processing generally supports entering or performing an agreement; accounting, regulatory and legal demands may require processing under a legal obligation.
Security, fraud prevention, service administration, professional-directory maintenance and proportionate measurement may rely on legitimate interests where that basis is available and the relevant balancing requirements are satisfied. Optional marketing, non-essential device storage and particular sensitive-data uses require consent or another permitted basis where applicable. We do not treat agreement to Terms as consent to all tracking or all future marketing. A particular use must satisfy the law that applies to it.
4. Who receives information
Relevant information is shared with the assigned consultant or customer, authorised VisaWand personnel and service providers needed to operate the transaction. Providers include hosting and storage services, Stripe for payments, email delivery and tracking services such as SendGrid, support systems such as Zendesk where used, and meeting providers such as Zoom when a consultation uses their links. Google Analytics and advertising measurement services may receive browser and event information through configured integrations.
Public pages also load a visitor-identification or analytics script from deanonx.com. Loading a third-party script allows that provider to receive browser connection information, including IP address and technical request data; its processing and any associated identifiers need to be considered alongside browser privacy settings and applicable consent requirements. A listing business receives information when you visit its own website, including VisaWand campaign tags where added.
We may disclose relevant records to banks, payment providers, professional advisers, competent authorities or courts when necessary to address a transaction, fraud, dispute or legal requirement. A corporate transaction may require appropriate disclosure to parties subject to confidentiality and data-protection obligations. These disclosures do not make private consultation documents public listing content.
5. Cookies, analytics, advertising and referral attribution
Session and security cookies support sign-in, account protection and requests. An optional remember-login mechanism uses a token with a thirty-day expiry. Passport or currency preferences and similar settings may be stored to personalise the interface. Referral and analytics identifiers may also be stored, including thirty-day affiliate attribution and Google client or session identifiers used to connect confirmed bookings to acquisition information.
Usage measurement can include page visits, button interactions, booking events and advertising attribution. Marketplace reporting counts listing impressions, profile views and website clicks; businesses receive activity totals rather than an entitlement to private customer records. Outbound marketplace URLs use utm_source=visawand, utm_medium=referral and campaign or placement identifiers. These tags identify the referral and listing placement; they are not intended to contain your name or consultation documents.
Browser controls can block or delete cookies and restrict third-party scripts; blocking necessary storage can affect sign-in or checkout. Google also provides analytics and advertising controls. Where law requires prior consent for non-essential storage, consent must be obtained through an appropriate mechanism; this Policy itself does not supply that consent. You may request information about applicable opt-out rights using our privacy contact. We will not treat the absence of a message to support as affirmative tracking consent.
6. Marketing and transactional communications
Account notices, booking updates, claim or verification messages, receipts, refund information and security notices support the service. Newsletters and promotional communications are separate. Use an available unsubscribe link or contact support to stop marketing. A marketing opt-out does not prevent essential service communications about an existing transaction.
Email systems can record delivery, bounces, spam complaints, opens and link clicks when tracking is enabled. An open can be generated by an email privacy service, and a click by an automated scanner; these measurements are not conclusive proof that a person read a message. We use suppression records to respect opt-outs and avoid repeatedly contacting invalid or complaining recipients.
7. Retention and deletion
We determine retention by the purpose of the record, the active account or engagement, applicable accounting and legal requirements, professional or payment disputes, fraud prevention, security needs and any deletion request. We do not promise one fixed retention period for every data category. Booking and financial records can need to remain after an account closes, while temporary authentication tokens expire according to their security settings.
A request to remove a profile, delete a file or close an account does not automatically remove every backup, audit record, payment reference or lawful suppression entry. Backups may remain until their normal rotation; restricted records should not be restored to routine use without a continuing lawful reason. We assess requests to erase, restrict or anonymise information against the purposes and obligations that remain, and explain material exceptions where required.
8. Security and authorised access
We use access controls and other technical and organisational measures designed to protect information. Passwords are stored using password hashing rather than as readable account passwords, and document access is checked against the relevant booking role. Authorised personnel may access account or transaction information to provide support, investigate an issue or administer the service. Access should be limited to the task and recorded where supported.
No online system or transmission is completely secure. Keep credentials and meeting links private, use a trusted device and report suspected compromise promptly. We will assess incidents and provide notifications when required by the applicable law. Do not place sensitive information in public reviews or listing fields.
9. International processing
VisaWand is a United States business serving users and consultants in multiple countries. Your selected consultant and our technology providers may process information outside your country. Data-protection rules can differ by location. Where a transfer is subject to legal restrictions, appropriate legal transfer conditions and safeguards must apply, such as an applicable adequacy mechanism or contractual protections. Contact us to ask about the locations and safeguards relevant to your information; we do not claim a particular certification merely because a provider is internationally available.
10. Your privacy choices and rights
Depending on your location and applicable law, you may request access, confirmation of processing, correction, deletion, a copy or portability, restriction, withdrawal of consent, or an objection to particular processing. You may also have rights to opt out of targeted advertising, sale or sharing as those terms are defined by local law, and certain profiling. The availability of a right depends on the activity and legal conditions; this Policy does not assert that every activity is legally classified the same way everywhere.
You may object to processing based on legitimate interests where the law provides that right, and you may object to direct marketing. Withdrawing consent affects future consent-based processing and does not make earlier lawful processing unlawful. Contact support to exercise a right, identify the account or profile concerned and describe your request. We will apply the relevant statutory response period, permitted extensions and verification rules rather than promise an unsupported universal deadline.
If a request is refused, you may ask us to reconsider or appeal where applicable and may complain to the authority competent for your location, including the Delaware Department of Justice, an EU data-protection authority or the UK Information Commissioner where relevant. We will not unlawfully discriminate against you for exercising a privacy right. A statutory complaint or court remedy does not require you to abandon it while contacting support.
11. Children, automated systems and updates
Accounts for contracting and paid services are intended for adults. An authorised adult may provide a child’s information where needed for a lawful family or education consultation. Do not create a child’s purchasing account or send unnecessary information about a child. Contact us if you believe a child has supplied information without the required authority.
Automated systems support security checks, scheduling, analytics and transaction administration. VisaWand does not issue immigration decisions; government authorities do. Where a particular automated processing activity gives rise to statutory rights, you may use the privacy contact to request information and the applicable review. We do not label every automated counter or booking calculation as a legally significant automated decision.
We may update this Policy to reflect changes in services or obligations and will show the revised date. Additional notice or renewed consent will be provided where required for a material change. The customer and consultant sections below explain the different information each role supplies and receives.
For customers
C1. Account, enquiry and booking information
We process information such as your name, email address, account credentials, selected passport country or destination, consultation preferences, booking time, consultant selection, order status and information you provide in an enquiry. Guest bookings can involve contact and transaction details without a normal registered account. Support records can include communications, complaint descriptions and relevant booking references.
C2. Consultation documents and sensitive information
Documents or messages you choose to supply may contain identity details, travel history, financial information, family relationships, employment, education, health information or other sensitive material. Supply only what the consultant needs and redact unrelated information where practical. Do not submit another person’s information without authority. Health data and other legally protected categories require an applicable additional processing condition where the law demands one; an ordinary upload is not unlimited permission for unrelated reuse.
The document facility uses separate storage and booking-based access controls. The booking customer, assigned consultant and authorised personnel with relevant access may handle the files for delivery or support. A consultant may retain professional records under a separate lawful duty. Deleting a platform copy does not automatically delete information already lawfully obtained by the consultant; ask both parties where appropriate.
C3. Payments, refunds and support sharing
Stripe or the payment provider shown at checkout processes payment details. VisaWand handles transaction references, amounts, currency, payment and refund status, and information needed for reconciliation and disputes. We do not ask you to send full card details through support messages. A payment provider may separately process verification and fraud information under its own notice.
The assigned consultant receives information necessary for the engagement, such as booking details and relevant material you submit. Reassignment can require sharing relevant booking information with the replacement professional, subject to the service arrangements and applicable law. Support staff may examine the records necessary to resolve a missed meeting, refund or complaint.
C4. Meetings, reviews and external destinations
If a consultation uses Zoom or another external meeting service, that provider processes connection and meeting information under its own terms. A meeting link does not by itself establish that a session is recorded. Recording requires appropriate notice, authority and any legally required consent; do not record secretly.
A review you submit for publication can display your submitted review content and the identifying presentation shown in the review process. Keep private immigration facts out of it. Clicking an external business, institution or official-resource link takes you to a separate operator; its information practices apply to that visit.
C5. Managing customer information
Use account controls where available to update contact information and contact support to correct booking records or request account closure. You may unsubscribe from marketing independently. We may retain transaction, dispute and security records after closure according to the shared retention criteria. Ask the consultant directly about records held in their independent professional practice, and contact VisaWand about records we control.
For consultants
P1. Registration, verification and financial information
We process professional and business identity, contact details, profile information, qualifications, service categories, languages, location, availability, prices and evidence supplied to establish authority to claim a profile or offer a regulated service. Billing and payout administration may also involve transaction, subscription, tax or payment-destination information required for the relevant service. Do not include private financial credentials in a public profile.
P2. Publicly sourced and unclaimed profiles
Some directory records are assembled from publicly accessible professional or business sources before the person registers. They can contain a professional name, business location, website, publicly listed contact details and a service description. A listing is not proof that you created an account, authorised an advertisement or agreed to receive marketing.
Contact support to correct an inaccurate record, identify an unauthorised claim, request information about the source or seek removal or restriction. We may ask for reasonable evidence linking you to the professional or business concerned. Public availability does not remove applicable privacy rights, and it does not authorise publishing confidential client records.
P3. What is public and what is shared privately
Published profile fields, business descriptions, approved photographs or logos, prices, service categories and reviews can be seen by visitors and search engines where indexing is permitted. Contact details may be displayed or withheld according to the relevant feature; do not assume that entering a detail anywhere makes it private. Check the field label and rendered profile.
Verification material, account passwords, payout information and private consultation records are not intended as public profile content. Authorised staff and necessary providers can process them for verification, administration, security and support. Search-engine caches and copies held by external sites may not disappear immediately when a profile changes.
P4. Leads, service history and analytics
We record bookings, acceptance status, communications, completion and payment information to administer services and investigate concerns. Listing analytics can show impressions, views and outbound clicks. Attribution links allow your own website analytics to identify VisaWand traffic. These reports do not automatically disclose the identity, email address or immigration circumstances of each visitor.
We may send profile-claim invitations, service notifications or relevant business communications where permitted. You can object to marketing or request that an incorrect address no longer be used. We retain necessary suppression information to avoid reintroducing an opted-out contact into future communications.
P5. Your duties for customer data and leaving VisaWand
When you independently decide the purpose and means of processing client information, you may have separate controller or equivalent duties under applicable law. Provide the required notice, limit data to the engagement, secure it, handle requests, observe retention requirements and assess cross-border disclosure. Receipt through VisaWand is not permission to add a customer to unrelated marketing lists or disclose their documents to another service without authority.
If you close your account, contact support about outstanding bookings, profile visibility and lawful transfer or disposal of client records. Profile removal, account closure and cancellation of a recurring plan are different actions. Some financial, verification, suppression and dispute records may remain under the shared retention criteria; a private record retained for a lawful purpose is not permission to continue displaying a removed public profile.
