Czechia’s Abuja visa appointments for business and conferences now require the Czech host’s email

The booking route introduced on 1 October operates continuously for specified Schengen purposes, while other applicants remain subject to the embassy’s separate registration instructions.

The inviting Czech entity must initiate the qualifying booking

Applicants seeking a Czech Schengen visa through Abuja for business, professional sport, culture, training or internships, or conference attendance should first coordinate with their inviting Czech organisation. From 1 October 2026, the embassy requires that entity to email [email protected] with the invitees’ names, travel purpose and travel dates. This is an appointment-procedure follow-up, not a new visa exemption for Nigerian travellers or a general employment permission.

The embassy says these applications are accepted continuously rather than only on the monthly registration day. Appointments are assigned in approximately two weeks, subject to capacity, and only on the basis of the Czech entity’s request. That estimate concerns an appointment, not a visa decision. Applicants without a qualifying Czech inviting entity, and other purposes such as tourism or family visits, must follow the separate published registration procedure. The page’s displayed 15 October registration for November has already passed; it is not an open invitation to send a late monthly registration today.

Check whether Abuja is the competent embassy

The embassy’s jurisdiction page covers citizens of Nigeria, Benin, Cameroon, the Central African Republic, Chad, Congo-Brazzaville, Equatorial Guinea, Gabon and Niger, together with qualifying long-term or permanent residents of those countries. An applicant should establish competence before asking a Czech host to arrange a booking. Residence in a different country or possession of an invitation does not automatically transfer consular jurisdiction.

The same page distinguishes Schengen filing from airport transit and long-stay applications. It notes that Beninese citizens can also file Schengen applications through France in Cotonou under representation arrangements. It also provides a separate contact route for EU-citizen family members. Use this official jurisdiction resource to identify the correct office and category; a conference appointment channel does not replace the procedures for a residence permit or an EU-family application.

The invitation is only one part of the business file

The Czech Foreign Ministry’s business-visa resource describes qualifying activities such as meetings, negotiations, concluding contracts and attending trade fairs. The application still needs the passport, completed signed form, photograph, applicable fee, fingerprints and supporting evidence. Purpose evidence can include the business partner’s invitation, documents showing the commercial relationship and an employer’s confirmation.

Applicants must also address accommodation, financial means, intention to leave Schengen and travel medical insurance, together with any applicable harmonised document list. A Czech host’s appointment email does not establish those matters for the applicant. Use the ministry’s business checklist to divide responsibilities: the host supplies accurate invitation and commercial details, while the traveller prepares the personal and financial evidence. Explain any itinerary involving several countries rather than assume an invitation makes Czechia the correct filing destination regardless of the actual trip.

Pay the visa fee through the embassy’s published procedure

The ministry’s visa-fee schedule gives the standard Schengen application charge as EUR90, EUR45 for children aged six to eleven, and no charge for children under six. Other legal exemptions can apply, but the appointment change does not announce a blanket business or sports fee waiver. The fee pays for examination of the application and is not refunded merely because a visa is refused.

Abuja’s own instructions say fees are collected at submission in cash in Nigerian naira. Confirm the current local-currency amount through the embassy’s fee information rather than use an old conversion or another mission’s payment method. Payment to an intermediary does not establish that the embassy has received an application. Keep the official receipt and distinguish the consular fee from unrelated travel or document-preparation expenditure.

Leave time for examination after the appointment

The Schengen Visa Code provides a normal decision period of 15 calendar days for an admissible application, extendable to 45 days in individual cases requiring further scrutiny. This is separate from the host-request appointment estimate. A conference opening date does not guarantee accelerated examination or approval.

The ministry’s business guidance also places ordinary filing between six months and at least 15 days before the trip. Applicants should therefore arrange the host request, collect evidence and allow decision time before committing to travel. Read the issued visa’s validity and permitted stay, and retain purpose, accommodation and financial evidence for the border: a visa does not remove the obligation to meet entry conditions.
