The return service is optional and follows the visa process

Germany’s embassy in Quito has introduced an optional postal return service for visa applicants’ passports from 19 October 2026. The embassy’s current entry-services notice identifies Grupo Entregas, the local FedEx operator, as its logistics partner. Delivery to a home address costs US$11; delivery to the nearest collection station costs US$10. Applicants who want the service should indicate that choice during the visa appointment and complete the linked delivery form in advance.

The notice says passports are dispatched individually in sealed security envelopes, with shipment tracking and loss insurance. It permits one change of the chosen collection station without an additional charge. These are return arrangements, not a premium visa-decision service. The announcement does not promise a particular delivery day or faster examination. Ask the embassy about the applicable delivery arrangements during the interview and allow time to receive the physical passport before planning departure.

Short-stay applicants still need individual appointments

The embassy’s Schengen procedure applies to short stays of up to ninety days in any 180-day period. It receives applications where Germany is the main destination and also represents Austria. The page identifies the particular exemption for Ecuadorian diplomatic or official passports and describes the narrowly defined single-country airport-transit case. Those exceptions should not be expanded to an ordinary tourism journey requiring admission to Schengen.

Each applicant, including each family member, needs an individual confirmed appointment. The embassy requires personal attendance, accepts the VIDEX application format and advises booking early, with applications possible up to six months before travel. Applicants should arrive fifteen minutes before the appointment. The page gives approximately ten to fifteen working days for ordinary processing, rather than a guaranteed departure date. Use its official appointment and VIDEX links; a courier booking does not reserve a visa appointment or replace attendance.

Prepare the checklist and distinguish the consular charge

The separate Schengen requirements page specifies two recent biometric photographs, the current passport and identity-page copy, relevant previous visas, a named flight reservation and travel medical insurance with at least EUR30,000 coverage without a deductible. The passport must have at least two blank pages and remain valid for at least three months beyond the planned stay. Purpose evidence and financial and home-country ties must also be documented.

The checklist’s ordinary consular charge is the US-dollar equivalent of EUR90 at the day’s exchange rate, paid in cash at filing, using notes no larger than US$20. That is distinct from the US$10 or US$11 passport-return charge. The checklist differentiates employees, students, self-employed people and pensioners and identifies the additional documents for minors and non-Ecuadorian residents. Use the category that matches the applicant’s actual circumstances rather than submit a generic hotel-and-flight file.

Long-stay categories have a different submission channel

For many national visas, including work, study, vocational training, the Opportunity Card and family reunification, Quito’s general national-visa instructions require the Foreign Office’s online Consular Services Portal. Documents are checked there before an invitation to book the in-person identity and biometric stage. Other categories, such as certain language courses, internships, volunteering, au-pair work and research, use the specified direct appointment route.

The national-visa page lists a standard EUR75 charge, payable in its US-dollar equivalent in cash, with EUR37.50 for minors, subject to the applicable case. It requires the complete original documentary file and explains authentication and German translations of Ecuadorian official documents. Its indicative examination periods vary by category, including longer family cases. The new courier option does not combine these distinct categories into the Schengen timetable or remove a required online document check.

A returned passport does not complete every border requirement

The embassy’s separate Entry/Exit System guidance says EES has been fully operational since 10 April 2026 for qualifying short stays. It records arrivals and departures digitally, including relevant biometric information, instead of routine manual passport stamping. It does not itself change the underlying entry or stay conditions and requires no separate advance application by the traveller.

The EES resource identifies exemptions including EU, EEA and Swiss citizens and holders of residence permits or long-stay visas. This is therefore another reason to identify the actual travel category. Once the passport is returned, review the issued permission and the intended itinerary before travel. Keep the relevant trip evidence available and distinguish courier tracking, the consular decision and admission at the external border: they concern three different stages.
