Delegates to December aviation talks in Equatorial Guinea should request visa help 30 days ahead

ICAO’s December event guidance distinguishes delegation registration from entry permission. Airport visa assistance is event-specific and should be arranged with the organiser.

The December meeting creates a practical early-November deadline

Delegates planning to attend ICAO’s Air Services Negotiation event in Equatorial Guinea from 7 to 11 December 2026 should settle their entry arrangements now. The event page identifies Malabo and the Sipopo International Conference Center, with the national aviation authority hosting. This is a current planning guide for that meeting, rather than a newly announced immigration exemption for ordinary visitors.

The event offers both in-person and remote participation for air-services negotiations and consultations. A delegation should decide which members will actually travel before preparing its administrative lists. The programme is conducted in English, while delegations must arrange their own translation for bilateral negotiations if needed. These meeting arrangements identify the intended audience; they do not establish that registration authorises entry or that every accompanying person is covered by the same visa assistance.

Ask the event focal point about airport assistance in advance

ICAO’s entry-visa page tells participants to contact an Equatorial Guinea mission about requirements and processing. It describes airport visa availability for participants carrying a valid passport, return ticket and invitation letter. This event guidance does not establish a universal visa-on-arrival entitlement.

For delegates unable to obtain a visa online or without a mission in their country of residence, the page recommends sending the delegation list to the event focal point at least 30 days in advance to assist with airport arrangements. For an arrival on 7 December, that lead time falls on 7 November; an earlier arrival requires an earlier calculation. Ask the organiser what confirmation will be issued, which arrival airport and nationality it covers, and what fee is payable. The page does not publish an airport-visa price or establish that an unacknowledged list guarantees boarding or admission.

State focal points handle registration separately

The ICAN registration page says registration is open and that instructions have been sent to States’ focal points. Those focal points must register every member of their delegation, including themselves, following the State-letter instructions. A newly designated focal point needs an official State nomination letter communicated to the ICAN team at [email protected].

Use that administrative channel to reconcile the travelling roster with the people seeking entry assistance. A name appearing on an internal travel plan is not evidence that the required registration has been completed. The public page does not establish an unrestricted individual registration route, a delegate fee or a substitute for the State’s nomination process. If the named focal point has changed, resolve the nomination and access issue before relying on the previous office holder to complete the delegation’s arrangements.

A consular application remains a separate document process

The Equatorial Guinea embassy in London publishes a business-visitor checklist requiring an invitation from the Ministry of National Security, valid for 30 business days, and a company letter explaining the purpose and financial support. It also requests accommodation and exit evidence. These London instructions should be checked with the mission for a conference delegation rather than assuming an ICAO invitation automatically replaces the specified government invitation.

The embassy requires the travel passport and copy, with passport validity extending at least six months after departure from Equatorial Guinea. It publishes standard processing of three to five working days and express handling of 48 hours, subject to its application conditions and right to request more information. Fees vary with citizenship and duration and are payable in cash; no fixed delegate rate is stated. Ask which category and current charge apply before dispatching original documents or paying.

Prepare the vaccination record and keep health claims bounded

For British-citizen passport holders, the UK government’s entry guidance requires a yellow-fever vaccination certificate. Check the actual record before departure rather than assuming an invitation replaces health documentation. Individual vaccination questions need advice appropriate to the traveller; this article does not establish a medical exemption.

The separate ICAN health-services page says the host supplied an epidemiological certificate describing the country as low risk at the document’s issue date. That dated assessment should not be read as a permanent guarantee or an exemption from another country’s transit requirements. The page also identifies medical services in Malabo and says a first-aid and emergency medical centre will be available at the venue. Event medical support is distinct from obtaining entry permission, arranging insurance or confirming a traveller’s personal medical needs.
