Students renewing permits in Namibia need progress records and fresh local police clearance
Namibian university guidance separates study-permit renewal from academic registration. Returning students should prepare progress and status records, confirm the current filing window and distinguish an application receipt from the permit needed for travel.

Use the returning-student checklist rather than admission documents alone
International students renewing study permission in Namibia should prepare a separate immigration dossier, rather than assume that university registration renews their status. The University of Namibia's published returning-student checklist includes current registration, the existing student permit, accommodation evidence and active medical insurance.
It also requires a previous-year progress report and an original local police clearance less than six months old. Research-only students should obtain a written progress report from their supervisor. Returning students who took a gap year need clearance from their home country under the university's instructions.
UNAM expressly distinguishes documents for study permits from documents for admission or registration. Ask its international-student office which current deadline and submission arrangement applies to the campus and course. An academic timetable is not proof that an immigration application is complete.
Read an older notice for evidence requirements, not a new filing window
The Namibia University of Science and Technology's published 2025/26 permit notice lists renewal evidence including the previous academic transcript, a sponsor's written undertaking and contact details, the permit endorsed in the passport, Namibian police clearance and a residential-address record. It calls for certified documents, English translations where needed and originals for checking.
The notice's actual filing dates were 1 November 2024 to 31 March 2025. Those dates have passed, despite the broader year label in its heading. It is useful historical evidence of the dossier, not evidence that a November 2026 application period is now open. Confirm the current timetable with the university and Home Affairs.
The same dated notice warns that approval letters or acknowledgement receipts cannot be used as a study permit at entry points. Before leaving Namibia, check which endorsed document will establish the student's right to return. Do not rely on an old annual application announcement as permission to travel or remain.
Check the overseas filing route and its separate handling charge
Namibia's embassy in Berlin publishes its own study-permit instructions. The checklist includes application and visa forms, passport photographs, a certified passport identification-page copy, medical and radiological reports, a deed of surety, home-country police clearance, the host institution's motivation or invitation, health insurance, qualifications and accommodation evidence.
For an underage applicant it also requires written parental travel permission and certified copies of the parents' passports. These requirements concern that consular route; a returning student in Namibia should not automatically replace the locally required police clearance with an overseas document.
Berlin lists a non-refundable thirty-euro handling fee and an indicative processing period of two to three months. It requires English documents or translations and advises waiting for the outcome before booking tickets. The handling charge is not a confirmed total annual permit cost. Ask for the current Home Affairs assessment and any endorsement payment before treating the embassy charge as the full budget.
Allow time for the immigration decision and preserve the right records
Namibia's embassy in Washington separately explains that permits require Home Affairs approval before entry. Approval from another Namibian ministry or institution does not replace that immigration decision. This distinction matters where a university or another body has issued an acceptance, recommendation or sector-specific authorisation.
The Washington guidance gives a general processing indication of two to four months and says complete documents affect the speed of handling. That differs from Berlin's published estimate, so neither should be turned into a universal decision guarantee. Use the receiving office's current instructions for the actual application route.
Its page provides the official application, medical, radiological and surety forms, requires clearly completed and signed application submissions and official English translations of foreign-language documents or certificates and recommends keeping copies before mailing documents. Those resources help applicants obtain the right evidence without copying another student's answers. Preserve the current passport, existing permit, certified academic records and submission acknowledgement, then verify the issued permit and expiry once the decision is made.
