Poland student visa applicants must check NAWA certificate recognition

Applicants beginning first-cycle or long-cycle studies should establish whether their school certificate needs an individual NAWA statement and prepare that evidence before the visa appointment.

Check the qualification rather than nationality alone

Poland’s student-visa reform introduced an additional school-certificate recognition document for affected applicants from 1 July 2025. The Polish mission in India explains that applicants entering the first year of first-cycle or long-cycle master’s studies may need written information from the Polish National Agency for Academic Exchange, NAWA, confirming that their qualification permits access to higher education in Poland. This is a current preparation guide, not a new November recognition requirement.

The mission’s notice identifies exceptions linked to where and how the qualification was issued, including specified EU, OECD and EFTA qualifications, the International Baccalaureate and recognised international-agreement cases. The relevant question is the certificate held, rather than a simple assumption based on citizenship. Someone with an existing education-superintendent recognition decision should check whether that document already fulfils the requirement instead of making an unnecessary duplicate request.

The notice warns that failure to present the required recognition evidence can lead to student-visa refusal. University admission and tuition payment should therefore not be treated as confirmation that the visa file is complete. Establish the recognition position early enough to obtain the document before the consular appointment.

Use the correct NAWA service and supporting records

NAWA’s official Secondary School Certificate page provides the individual-statement procedure through SYRENA. It requests the school certificate, relevant subjects and grades, earlier education evidence and identity documentation, with additional records for circumstances such as a name change or a minor applicant. Read its translation instructions for the language of the original documents instead of assuming that every foreign-language attachment needs the same treatment.

The page says individual statements are issued free of charge as digitally signed Polish-language PDFs. Applicants must complete submission through the activation link sent to their email and can download the result after notification. Keep the original digital document accessible for the visa file. A draft in the system or a payment to an intermediary is not evidence that NAWA has issued the statement.

The statement confirms access to continuing studies. It is not university admission, a professional licence or a visa. Where the certificate is automatically recognised or was already recognised by the Regional Educational Authority, follow NAWA’s exemption guidance rather than assume that every applicant needs an individual statement.

Avoid the errors that delay recognition

NAWA’s separate process-improvement guidance identifies recurring problems: unreadable or cropped scans, combined attachments in the wrong fields, inconsistent identity information and use of the wrong application module. Secondary-school certificates and higher-education diplomas are handled separately. Before submitting, check that the selected module matches the qualification being assessed and that names and document numbers match the passport.

That guidance asks for clear colour scans directly from originals, with each record uploaded in the appropriate field. It also says applications should be completed in Polish or English without automated browser translation, which can distort system data. These checks matter because an apparently completed form may still need correction before substantive assessment can proceed.

NAWA warns that repeated identical submissions do not accelerate processing and can create additional verification work. Monitor the existing application and respond to a request for missing material rather than starting another identical case. The reviewed guidance does not provide a guaranteed completion date for an individual applicant, so align the recognition request with the university’s admission and latest-arrival arrangements while leaving time for corrections.

Prepare the visa file and keep charges separate

The Polish mission in Saudi Arabia’s national-visa page provides a concrete consular checklist: a signed application, passport, photograph, insurance, financial and accommodation evidence, and documents demonstrating the travel purpose. It also identifies the NAWA recognition requirement for relevant study cases. Applicants elsewhere must use their own competent mission’s current checklist and appointment instructions; Saudi residence documents and local payment arrangements should not be copied into another post’s procedure.

That mission requires personal visa submission and directs applicants to e-Konsulat for appointments. It states that the visa charge is nonrefundable and refers to its consular-fee table. NAWA’s free statement does not make the visa application free or establish the current fee at every mission. Confirm the assessed visa and any service charges through the authority handling the application before paying.

The practical sequence is to establish the certificate’s recognition status, obtain any required individual statement, complete university evidence and assemble the consular file. Check the actual appointment, course start and permitted late-arrival dates rather than assume recognition approval extends them. Even a complete recognition document leaves the visa decision and final border admission as separate official assessments.
